Terms and Conditions
These terms and conditions form part of an agreement between Southern Ocean Walk and the Guests referred to in the booking form. It is essential that you read and understand the terms of travel below before you book with us.
Validity
The prices listed on this website are based on the costs current at the time of publishing. Southern Ocean Walk reserves the right to alter these prices at any time. Itineraries are indicative only and are subject to local track conditions, weather, and the optimum walking environment on the day. All information is accurate to the best of our knowledge at the time of publication. Please note that changes to our trips can and do occur. Southern Ocean Walk will make every effort to keep you informed of any changes, but cannot be held liable for alterations made to the published itineraries. Our website will contain the most up to date information on any of our trips.
Currency & type of payment
All amounts are in Australian dollars (AUD$). Southern Ocean Walk accepts the following payment methods: Visa, Mastercard, Direct Bank Transfer.
Deposit
If a booking is made more than sixty (60) days in prior to the scheduled trip date, a deposit of A$400 per person is required for The Southern Ocean Walk and $200 for A Taste of the Southern Ocean Walk to reserve your place, with the balance payable no less than forty five days before the departure date. For reservations made sixty (60) days of less from the departure date, full payment is due at time of booking.
Cancellation by you
Cancellations must be received in writing or by email to Southern Ocean Walk. The deposit is non-refundable. Cancellations take effect subject to the following:
- If cancellation takes place more than 60 days before your departure date, your full deposit will be forfeited.
- If cancellation takes place less than 60 days before your departure date, 100% of the tour price will be forfeited.
Cancellation will take effect if you fail to arrive at the pre-arranged meeting place at the time stipulated. No refund will be paid if you voluntarily leave your walk for any reason after it has commenced.
You are strongly advised to take out cancellation insurance at the time of booking which will cover cancellation penalties in certain circumstances (Please Note: such insurance does not cover a change of mind).
Cancellation by us
Southern Ocean Walk reserves the right to cancel any walk up to 28 days prior to departure in which event a full refund will be made but all walks are guaranteed to depart once a minimum of 4 walkers are confirmed. No walk will be cancelled inside 28 days and every effort will be made to consolidate numbers so that the booked walk will successfully depart.
Southern Ocean Walk reserves the right to cancel any trip, including a guaranteed trip, at any time prior to departure due to terrorism, natural disasters, acts of God, political instability or other external events which make it unviable or unsafe for Southern Ocean Walk to operate our planned schedule. Southern Ocean Walk reserves the right to advise against walks if they deem a guest unfit.
If a scheduled walking date has not achieved its minimum quota of 4 walkers within 60 days of departure, customers will be contacted by the Company and assisted to depart on an alternative walk, or receive a full refund.
If Southern Ocean Walk cancels a scheduled trip which is guaranteed you may choose between an alternative trip or a full refund. The company is not responsible, and you release and forever abandon any claim you may have against Southern Ocean Walk in relation to any incidental expenses you may have incurred as a result of your booking such as visas, vaccinations, non-refundable flights or loss of enjoyment, etc.
Transfer of Departure Date
If travel restrictions prevent you from joining us on a booked walk you can transfer your booking to another date within 12 months of restrictions being lifted. Once all State borders are open our normal cancellation policy conditions apply as follows:
Transfers may only be made to another tour to commence within 12 months of your original departure date and you must notify Southern Ocean Walk in writing. Transfers take effect subject to the following:
- Amendment request received by Southern Ocean Walk 60 days or more prior to your original tour departure date — no charge. A transfer can only be made to a departure date within the current season validity.
- Amendment requests received by Southern Ocean Walk less than 60 days prior to your original tour departure date will be dealt on a case by case basis.
You should understand that Southern Ocean Walk reserves the right to decline, accept, or retain any person as a member of the group at any time.
Travel Insurance
We strongly recommend that guests of the Southern Ocean Walk obtain Travel Insurance that includes cover against cancellation for any reason, medical expenses or emergency repatriation, and personal liability, delayed flights, lost luggage and personal effects.
Force majeure
‘Force Majeure’ means (without restriction) any event, which Southern Ocean Walk could not, even with due care, foresee or avoid. Force Majeure covers events such as, but not limited to, adverse weather conditions, fire and all similar events beyond our control. In the case of Force Majeure the Southern Ocean Walk will not accept liability, and reserves the right to change and cancel walks.
Single supplement / Room Conditions
All our accommodation is twin share and single travelers may be required to share a twin room with another walker if the departure fills to capacity. For a guaranteed non-share room a supplement of 40% applies. Should a walk not be filled to capacity and you are traveling on your own we are able to provide you with your own room at no extra cost. There may be some circumstances where this is not available so please feel free to inquire.
Medical Fitness Clearance
Participants on our walk should be of good physical health and be able to participate in the group travel experience. It is important that you are physically prepared both for yours and the group’s safety. Anyone with a pre-existing medical condition is required to disclose it on their booking form.
Walkers 70 years of age or older must supply a doctor’s certificate stating that they are in good physical condition and that there are no known ailments or pre-existing medical conditions likely to prevent them from completing the walk.
Our walk is rated as moderate with a mix of easy and challenging sections. We recommend you do as much training as you can in the lead up to joining us so that you can focus on enjoying this wonderful experience to the full. By following a simple exercise regime of walking, swimming or cycling several times each week in the months prior to you walk you should be well placed to handle the terrain.
